Job Description

POSITION SUMMARY

Responsible for the scheduling of surgical cases and preparing the daily operative schedule.  Performs related clerical duties necessary to the functioning of the Operating Room.

MINIMUM REQUIREMENTS

Education:

  1. High School graduate or equivalent.
  2. Prefer one year of course work beyond high school.

Experience:

  1. Minimum of two years clerical experience.
  2. Preference will be given to applicants who have experience/knowledge of OR equipment, supplies, and procedures.

Knowledge, Skills, Abilities:

  1. Knowledge of medical terminology preferred.
  2. Good command of the English language and proficiency in spelling.
  3. Ability to plan and arrange own work and proceed alone, referring unusual situations to the Director of Surgical Services, Unit Director/Manager or Clinical Supervisor.
  4. Working knowledge of computer terminal desirable.
  5. Good oral and written communication skills.
  6. Numerical ability necessary for compiling statistical data in maintaining accurate records.
  7. Clerical perception necessary to detect errors on patient charts and variable reports.

License/Certification/Registration:

None

SUPERVISION RECEIVED

Receives general supervision from the Director of Perioperative Services, OR Operations Manager, and OR Office Supervisor.

Responsibilities

ESSENTIAL FUNCTIONS

  1. Performs duties necessary for the scheduling of surgical cases.
    1. Maintains computerized schedules or surgical cases in accordance with medical center policies.
      1. Accurately enters data from patient reservation slips in the computer.
      2. Obtains and enters accurate information from surgeons and/or their office when scheduling surgical cases.
    2. Assigns time, date, and room for each surgical case in accordance with scheduling, guidelines (procedure).
    3. Notifies Director of Surgical Services, Unit Director/Manager, or Clinical Supervisor of any problems/conflicts.
    4. Prepares OR schedule for the following day and submit to the Director of Surgical Services, Unit Director/Manager or Clinical Supervisor for review and discussion.
    5. Copies and distributes OR schedules per procedure as directed.
  2. Performs clerical/secretarial duties necessary to the functioning of the OR.
    1. Assumes responsibilities of OR secretary as directed.
    2. Assists in maintaining adequate level of office supplies.
    3. Maintains statistics as requested by Director of Surgical Services, Unit Director/Manager and Clinical Supervisor.
    4. Records and types minutes of departmental meetings.
    5. Participates in special projects as directed.
    6. Assists in maintaining computer system.
  3. Communicates effectively and develops professional interpersonal relationships.
    1. Demonstrates a high degree of professionalism when communicating with the public, physicians, and medical center personnel.
    2. Asks questions to clarify misunderstandings; requests assistance from appropriate personnel in the event of an unusual or difficult situation.
    3. Demonstrates good judgment by following written and verbal instructions carefully.
    4. Responds to questions, inquiries and requests in a mature, professional manner.
    5. Establishes and maintains good support and cooperative working relationship with co-workers in order to foster appropriate communications necessary for the delivery of good patient care; responds to co-workers with concern and cooperation.
    6. Understands and follows organizational structure and its flow of communication.
    7. Reports matters requiring immediate intervention to Director of Surgical Services/Unit Nurse Director/Manager, or Clinical Supervisor.
    8. Informs Director of Surgical Services, Unit Director/Manager or Clinical Supervisor of relevant matters to aid in problem solving and decision-making.
    9. Demonstrates an understanding of the function of how each department interacts with the Operating Room in contribution to the overall function of the medical center.
  4. Assists in maintaining an orderly and well-functioning work environment.
    1. Assists in keeping office neat and orderly.
    2. Cleans desk area and computer as necessary.
    3. Promptly and accurately routes all record keeping material to appropriate files.
    4. Keeps filing system organized to facilitate retrieval upon request.

NON-ESSENTIAL FUNCTIONS

  1. Performs related and miscellaneous duties as assigned.
    1. Contributes to the education or new personnel to the Operating Room.
