Position Description
Performs responsible, specialized duties within a unit of a department. Responsibilities include activities which require knowledge of departmental procedures. Employee performance is based upon a review of completed work and overall results obtained. May supervise clerical employees.
Major/Essential Functions
- Coordinates fleet vehicle rentals, including scheduling, completing necessary documentation, and ensuring rental procedures are followed.
- Oversees the submission of driver approvals in fleet management.
- Serves as a vehicle proxy which is responsible for coordinating maintenance, conducting inspections and ensuring vehicles are clean and ready for use.
- Responsible for submitting vehicle drive sheets and receipts via the online platform, ensuring all records are accurately documented.
- Purchase supplies for departments, picks up the items and delivers them to the designated locations.
- Handles the billing for laboratory runs, ensuring all transactions are processed correctly.
- Generates monthly reports in Cognos to verify data accuracy.
- Maintains and updates copier data, inputting it into a spreadsheet for analysis and tracking.
- Responsible for weekly P-Card reconciliation, ensuring all transactions are accurately documented.
- Filing, scanning and shredding of documents.
Occasional Duties
- Covers the mailroom and freight duties during staff absence or as needed.
- Assists with invoicing as needed, providing support during absences such as vacations.
- Acts as the Unit Safety Officer (USO), handling New Employee Safety Orientation sheets, making sure safety training is up to date, and submitting department documents like fire drill sign-in sheets.
Required Qualifications
High school plus 3 years experience. Additional education may substitute for experience on a year for year basis.
Preferred Qualifications
Valid State Driver's License with a clean driving record
