Central Maine Healthcare is searching for a Scheduling Coordinator to join their Orthopedics team! This position is responsible for accurate coordination and implementation of procedure scheduling for various providers and hospital locations ​.

 

Regulatory Requirements:

  • Associate degree and/or Bachelors preferred
  • 3-5 years of office/clerical work experience preferred
  • Previous experience working in health care setting preferred

 

Skills:

  • Must have strong command of Microsoft Excel and Word
  • Outlook Superuser a must
  • Must be detail oriented and highly organized, capable of learning additional software as required, including New Innovations and Electronic Medical Record Scheduling

 

Duties and Responsibilities:

  • Based on physician order, schedules patient for procedure or surgery in appropriate location and on appropriate date, based on patient need, block time available, equipment available, and physician ability, stamina and preference.
  • Performs scheduling functions in a timely manner, accurately and with complete detail.
  • Ensures maximum provider and room productivity possible.
  • Communicates with physician groups proactively to resolve booking conflicts and to promote appropriate utilization of resources.
  • Communicates with physicians and other departments to ensure equipment, materials and patient requirements are scheduled correctly.
  • Communicates with patient regarding date of surgery, time to arrive, preparation instructions, and answers any standard/scripted clinical questions that patient has regarding their procedure.
  • Provides printed educational materials.
  • Pre-screens patients for anesthesia need, following provider algorithm and books the appropriate amount of time for pre-admission testing if required.
  • Responsible for scheduling any outpatient physician referrals and outpatient testing for the department.
  • Accurately completes pre-registration for the procedure. Reviews for medical necessity.
  • Obtains any necessary pre-certifications from insurance companies for procedures and testing requested.
  • Accurately confirms correct case order with the physician and the OR procedural unit to avoid delays or reschedules.
  • Conducts administrative and clerical tasks of highly sensitive and confidential nature in a manner that facilitates effective inter/intra-departmental function and communication.
  • Develops and maintains rapport with insurance payers, outside agencies and other departments within the regional healthcare system.
  • Interacts with patients/families in a professional manner.  Provides explanations regarding appointments, insurance coverage; ensures confidentiality of patient records.
  • Notifies Clinical Coordinator or Practice Manager, Physicians, anesthesia providers and diagnostics staff of any changes in case/procedure line-up.
  • Answers phone within three rings in a courteous manner using appropriate greeting and identification.
  • Records/distributes thorough and accurate messages in a timely manner.
  • Screens calls, manages sensitive and/or confidential calls in an appropriate manner.
  • Records appropriately detailed documentation on the patient account following each call
