Position Description

This position is responsible for ensuring the smooth operation of the clinic patient flow and serving as the primary contact for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees may have cash-handling responsibilities.

Major/Essential Functions

  • Offers financial counseling, particularly related to patient eligibility and payment options.
  • Manages incoming phone calls using the clinic's call center system.
  • Contact patients to confirm or reschedule appointments as needed.
  • Registers patients for appointments, either over the phone or in person.
  • Ensure the accurate and complete entry of patient information.
  • Responsible for collecting patient co-payments in various forms (cash, credit card, checks/money orders).
  • Provides expertise in insurance verification, using both online and phone systems.
  • Verifies insurance eligibility for services.
  • Schedules patient appointments using computer systems, following clinic guidelines and processes.
  • Coordinates appointments for multiple providers and clinic days, ensuring proper scheduling and patient flow.
  • Communicates effectively with all TTUHSC departments, particularly medical staff, nursing, and supervisors.

Occasional Duties

Travel to Midland, Odessa and MFM Midland to ensure proper coverage.

Required Qualifications

A High School diploma or GED. 1-year Customer Service, office, or related experience. Additional education may substitute for the experience requirement.

Preferred Qualifications

  • Bilingual English/Spanish
  • Experience handling heavy telephone traffic using the institutional communications system.
  • Experience handling patient scheduling and registration.
  • Experience processing billing insurance information.
