Job Summary
The Oncology Office Assistant plays a vital role in supporting patients and families throughout their care journey. Under the supervision of the Navigation and Radiation Oncology Supervisor, this position is responsible for delivering exceptional front desk service by greeting patients, completing registration, and managing appointment scheduling. The role ensures accuracy in patient demographics, insurance verification, and pre-certification while maintaining a welcoming and professional environment.

- Schedule, confirm, and adjust patient appointments
- Register patients and maintain accurate demographic and insurance information
- Verify insurance coverage and pre-certification requirements
- Support efficient office operations by assisting with administrative tasks as needed
Qualifications
- Strong customer service and communication skills
- Flexibility with schedule
- Experience in medical terminology, data entry, admitting, business office, collections, or physician office preferred
- Computer proficiency required
- Bilingual skills a plus

- Must possess detailed understanding and knowledge of insurance guideline and protocols, the components of full verification, and payor information/requirements
Essential Tasks and Responsibilities
- Maintains a comfortable lobby for patients and their families by ensuring tidiness of the area, adequate seating, and replenishing refreshments.
- Answers phone calls and assist caller in any way possible abiding by the policies of NGHS regarding the release of information.
- Provides information to patients, community members, employees, etc. as requested at the front desk.
- Greets and checks off arrival of patients in computer system.
- Captures and documents all pertinent patient demographic, subscriber and insurance information (i.e.: patient policy and ID numbers, subscriber, guarantor, payor address, phone number, and contact information).
- Procures patient referrals in accordance with physician requests and processes mail in a timely and efficient manner.
- Faxes information as requested (notes to MDs, invoices to accounting for payments or bills, etc.)
- Reviews work and assures accuracy in all aspects of the position; pay close attention to patient type, visit type, code identification, insurance information, and demographic information to minimize error rate and time delays in other areas.
- Completes medical release forms and other necessary forms as required for patients
- Scans appropriate data into document managing system (including, but not limited to; insurance cards, drivers license, physician orders, consent forms, and any other registration related documents pertinent to the patient's medical record).
- Ensures prompt scheduling prior to date of service/admission in order to complete insurance verification and authorization process.
- Documents the pre-certification information into the patient account.
- Calls next day "New Patients" appointments for reminders and directions.
- Opens and distributes mail to appropriate personnel daily.
- Completes re-registration on 90 day revolving accounts for Oncology.
- Processes new referrals (faxes, walk-ins, phone and SCI Order facilitator).
- Monitors and orders supplies; submits any needed work orders for EVS or Plant Operations.
- Performs additional job related duties as assigned.
