Clinical Support Assistant
Job Description
POSITION SUMMARY
Provides clerical and clinical support, care coordination and education for patients undergoing sleep center studies and examinations with direction and collaboration of the physicians. Responsible for providing clerical support for Mount Nittany Medical Center (MNMC)’s Sleep Laboratory including demographic/clinical intake and scheduling of sleep studies, preparing and distributing correspondence and reports, and additional duties in support of the program. Performs duties to provide the highest level of customer service and satisfaction in a manner consistent with MNMC mission, values and service standards. Serves as a liaison between the patient and the MNMC Sleep Center. Will perform a variety of administrative duties such as obtaining and processing both incoming and outgoing referrals, medication or procedural authorization, registering patients, entering insurance information, collecting copayments, scheduling appointments, answering telephones, making copies and maintaining supplies.

MINIMUM REQUIREMENTS
Education:
- High school diploma or equivalent required.
- Graduate of accredited medical assistant program preferred.
Experience:
- Minimum of one year prior secretarial and/or medical assistant experience required.
- Experience in a clinical setting, working with multiple principals preferred.
- Requires experience with computers and triaging phone calls and composition of correspondence.
- Proficiency with Microsoft Excel, Word and Access preferred.
Knowledge, Skills, Abilities:
- Requires knowledge of secretarial skills and office support operations.
- Requires knowledge of medical terminology and word processing, spreadsheet and database software.
- Knowledge of medical practice and patient care, medical equipment and instruments and examination, diagnostic room procedures.
- Knowledge of physician office procedures and medical terminology.
- Basic knowledge of ICD-10 and CPT coding guidelines.
- Demonstrates effective written and spoken communication skills.
- Demonstrates appropriate social skills.
- Demonstrates ability to follow direction.
License/Certification/Registration:
- Meets the American Heart Association’s standards for Healthcare Provider Basic Life Support (BLS) and renews BLS every two years.

Receives general supervision from the Manager, Hospital Outpatient Clinics.

Responsibilities
ESSENTIAL FUNCTIONS
- Provides clear patient instruction regarding the scheduled procedure. Keeps management apprised of schedules/concerns. Greet patients and obtain necessary patient information/documentation ensuring it is documented correctly in the Electronic Health Record.
- Answers, responds, and processes telephone calls and electronic messages from patients, including but not limited to inquiries relating to patient problems, appointments, prescriptions.
- Takes initiative to personally follow through on voicemail to assure service-oriented response. Takes accurate, precise messages and forwards them as appropriate.

- Maintains confidentiality of patient information.
- Prepares and mails all correspondence, as well as assisting with bulk or express mailings as requested. Assures availability of data via a comprehensive manual/electronic filing system.
- Provides medical record management, as required.
- Prepares information for scanning into the electronic record. Performs other record management as needed.
- Performs other record management as needed.
- Performs general secretarial support to compose and distribute letters, memos, agendas, and minutes. Distributes the mail.
- Gathers data and maintains department databases. Obtain referrals, medical clearance, or authorizations for tests, procedures, devices, medications, or appointments as directed.
- Provides administrative support to Physicians, Manager, and clinical staff as needed.
- Attends meetings and educational sessions appropriate for this position.
- When needed covers for clinical staff and prepares patients exam rooms and prepares patients for examination including taking patient histories, vital signs and height and weight measurements.
- Assist with office administered medication authorization including determining where the medication must be ordered, following through with the order and ensuring the patient has the appointment in the correct time frame.
- Perform front desk/administrative duties as required.
