About the Role:

Job Summary

The tumor registrar locates, identifies all cancer cases diagnosed/treated in this institution, and records all required information in the tumor registry database. Reviews clinical data from medical records and patient charts; verifies diagnosis and related conditions. Reviews death data as needed to maintain and update the registry database. Assures validity, accuracy, and completeness of data in the Georgia Tumor Registry. Assumes responsibility for reporting data to the NCDB, SEERS, the GCTR, ACS, ACoS and other regulatory entities as applicable. Maintains professional relationships to facilitate and assure the success of tumor conferences. Prepares reports for the Cancer Committee, medical staff, Administration, and the Annual Report.

Minimum Job Qualifications

  • Minimum Experience: At least two years of medical experience in various capacities with additional experience in clerical work.

Preferred Job Qualifications

  • Preferred Licensure or other certifications: Certified Tumor Registrar (CTR) certification. If not certified, willing to sit for Certified Tumor Registrar examination within 12 months of eligibility.
  • Preferred Educational Requirements: Associates Degree with emphasis on science or nursing courses.
  • Preferred Experience: Experience in cancer registry, medical records, and/or oncology discipline.

Job Specific and Unique Knowledge, Skills and Abilities

  • General knowledge of anatomy/physiology, case finding, abstracting and follow up procedures, medical terminology and general clerical and computer expertise.
  • Have general clerical and computer expertise. Intermediate word processing speed at 50-60 wpm.

Essential Tasks and Responsibilities

  • Accurate prepares cancer registry case abstracts in a timely and complete manner meeting reporting requirements mandated by the American College of Surgeons, State of Georgia and the NGMC Cancer Committee. Uses ICD-O for all morphology and topography sites as outlined in the third edition of the International Classification of Diseases for Oncology. Stages all cases using Extent of Disease (EOD), general summary staging, and TNM staging. Completes all edit checks prior to data submission to ensure accuracy and completeness of case report submissions. Ensures timely electronic submission of cancer reporting as required by the State of Georgia Comprehensive Cancer Registry. Completes all data corrections and omissions as appropriate and requested by the Georgia Comprehensive Cancer Registry. Completes case abstracts within six months of diagnosis as required by ACOS. Facilitates Quality Control review of 10% of all registry cases by Cancer Committee physician members.
  • Solicits and prepares cancer cases for physician presentation at designated Tumor Boards/Cancer Conferences according to ACOS standards and Continuing Medical Education requirements. Solicits case presentations from appropriate physicians to ensure compliance with ACOS tumor site representation requirements. Ensures that appropriate and timely notification is provided to support departments including pathology, imaging, and research and continuing medical education. Coordinates audio-visual equipment arrangements, including pre-conference set-up and testing, food and room arrangements. Accepts physician requests for case presentation ensuring appropriate case-specific information sources are obtained as well as date and location of desired presentation. Completes required ACOS case presentation documentation.
  • Ensures that all appropriate cancer cases presenting to hospital services are evaluated in a timely and accurate manner for inclusion in the cancer registry as prescribed by State of Georgia requirements and ACOS standards. Ensures that a list of appropriate registry cases is developed monthly for follow up action. Hospital service records are thoroughly scrutinized for appropriate patient follow-up information. Accurate follow-up contact information is documented on each case in a manner consistent with department policy. Government reports are routinely checked for case follow-up information. Follow-up contact procedures are conducted in a timely, accurate, and appropriate manner as prescribed by department policy and procedures.
  • Develops/prepares special studies and reports using Cancer Registry data to meet Cancer Committee, State of Georgia, ACOS, clinical and administrative requirements. Submits the data. Ensures that all data requests comply with department and hospital confidentiality and study requirements. Determines intent of data request to ensure report outcomes meet requestor’s intent. Develops data reports with cross checks and edits to ensure accuracy and report completeness.Completes data requests in a timely and thorough manner. Confirms appropriate format and receipt of all electronic data submissions. Confirms client satisfaction with all special study and report requests.
  • Contributes to the achievement of established department goals and objectives, and adheres to department policies procedures, quality, and safety standards. Complies with governmental and accreditation regulations. Maintain department as survey ready and in accordance with AJCC staging guidelines and ACOS standards. Develops, reviews and updates department policies and procedures to ensure department compliance with ACOS, State, JCAHO and hospital requirements. Annually participates in setting department goals and objectives. Contributes to design and review of assigned department objectives.  Achieves individual, department and service line goals, and objectives. Participates in performance improvement  activities by contributing suggestions, experience, and expertise to promote efficiency and excellent outcomes. Routinely develops/revises and reviews policies and procedures to ensure accuracy.
  • Contributes routinely to his/her own professional growth and that of the department and professional colleagues. Maintains current CTR certification by obtaining at least 20 CME hours in a two-year period. Remains current in all associated registry field activities including staging, abstracting, coding and related skills. Trains/updates department and service line staff as appropriate to ensure compliance with regulatory and credentialing standards. Serves as a mentor to new staff assisting in job training, and routinely updates peers and colleagues to ensure currency of service line and Cancer Committee awareness of registry developments and activities. Coordinates/contributes professional presentations for internal and external audiences in the field of cancer care and reporting.
