POSITION SUMMARY

The Cancer Program Assistant works within the Cancer Program under the supervision of the Manager, Cancer Services.  The Assistant/Coordinator performs a wide range of duties that support the interests and directives of the Medical Staff Cancer Committee, Standards of the American College of Surgeons Commission on Cancer, and the Pennsylvania Cancer Registry.

MINIMUM REQUIREMENTS

Education:

  1. Associates degree in health related field preferred.

Experience:

  1. Previous experience in Cancer Registry or Cancer related clinical setting is preferred.

Knowledge, Skills, Abilities:

  1. Demonstrates knowledge of anatomy, physiology, medical terminology and statistical skills. (Calculates percentages, utilizes graphs, etc.)
  2. Demonstrates business training and typing skills with basic knowledge required for word processing and data base programming -- microcomputer operations preferred.
  3. Proficient in utilizing Outlook and Microsoft office suite, including Word, Excel and PowerPoint.
  4. Must be a self-motivated individual with good communication and organization skills capable of drafting committee minutes, letters, reports, and summations.
  5. Must be able to plan, arrange and organize work in support of Cancer Registry objectives to maintain or exceed guidelines set-up by the American College of Surgeons and Pennsylvania Cancer Registry.
  6. Maintains team-oriented working relationships with other employees of the department; cooperates and works together with co-workers and management in an open office work setting achieving goals and objectives of the hospital/department.
  7. Communicates tactfully and diplomatically with all professionals in the hospital setting.
  8. Accepts and adapts to new and changing work requirements/assigned and priorities.

License/Certification/Registration:

None required.

SUPERVISION RECEIVED

Receives minimal supervision from Manager, Cancer Services. . Works collaboratively with team members to maintain or exceed guidelines set up by the American College of Surgeons and Pennsylvania Cancer Registry.

Responsibilities

ESSENTIAL FUNCTIONS

  1. Identifies cases for registry database.
    1. Assists Registrars to identify cases eligible for inclusion in the registry database. Reviews reports in the following areas:
      1. Diagnostic indices
      2. Pathology reports
  2. Participates in Quality Improvement.
    1. Supports initiatives of the Cancer Registry through assigned tasks related to data collection and processing.
    2. Assists with quality control checks as assigned by Registrar.
  3. Participates with follows-up and recording of end-result information.
    1. Supports process of communication with external facilities and providers.
  4. Assists with coordination of meetings and attends meetings.
    1. Assists with preparation for weekly cancer conferences including conference notices, HIPAA compliance, maintaining tracking log, and facilitating use of Zoom.
    2. Prepares a narrative summary of cancer conference.
    3. Manages cancer conference sign-in and evaluation process to meet PA Medical Society requirements for the provision of CME.
    4. Assists with follow-up on committee meeting requests as assigned.
  5. Maintains confidentiality and security of patient data.
    1. Adheres to confidentiality policies regarding patient care and computerized data as relates to the policies and procedures of the Medical Center.
    2. Maintains strict confidentiality to all legal issues/requirements within the realm of the designated job as the situation warrants.
  6. Performs clerical/reception duties.
    1. Receives and records initial contacts in person or on the telephone; courteously assists callers or visitors; answers incoming telephone calls, takes messages, provides information or routes calls to appropriate individual; greets visitors, provides information or directs to appropriate office or individual following department procedures.
    2. Assists with inventory and ordering of supplies as assigned.

NON-ESSENTIAL FUNCTIONS

  1. Performs related and miscellaneous duties as assigned.
    1. Accepts additional assignments as required from supervisory personnel meeting any specific time frame indicated.
