Position Description

Assists in managing the Office of the Registrar. Assists in the development, coordination and administration of the department.

Major/Essential Functions

  • Lead and manage the term-by-term course and section scheduling process.
  • Oversee classroom and academic space scheduling, ensuring optimal room utilization.
  • Maintain and enforce curriculum rules, prerequisites, and co-requisites within institutional systems.
  • Serve as the functional lead for the electronic curriculum management system.
  • Coordinate the implementation of approved curricular changes across systems.
  • Provide training and support to faculty and staff on scheduling procedures and curriculum tools.
  • Generate reports on scheduling efficiency, space utilization, and instructional needs.
  • Act as primary liaison to academic departments for course scheduling and classroom assignments.
  • Collaborate with internal partners (Registrar, IT, Institutional Research, etc.) to support academic planning.
  • Assist with university-wide processes such as academic calendar development, registration, and commencement planning.
  • Stay current on industry best practices and participate in relevant professional development.

Daily Functions:

  • Maintain and monitor data accuracy within the Student Information System (SIS) and scheduling platforms.
  • Troubleshoot and resolve issues related to course and section setup.
  • Ensure consistent integration between the SIS, electronic curriculum management system, and catalog systems.
  • Process scheduling updates and requests in a timely and accurate manner.

Occasional Duties

  • Assist in the development and maintenance of the academic calendar.
  • Support registration planning and implementation.
  • Coordinate and support commencement, final exam scheduling, and other institutional events.
  • Provide training to faculty and staff on scheduling tools and curriculum systems.
  • Participate in campus committees or working groups related to scheduling, curriculum, or academic operations.
  • Engage in professional development activities and represent the institution at regional or national conferences (e.g., TACRAO, SACRAO, AACRAO).
  • Collaborate on the implementation of new systems or process improvements related to scheduling and curriculum management.

Required Qualifications

Bachelor's degree in related field required plus five years administrative or management experience. Additional administrative or management education may be substituted for the required experience on a year-for-year basis.

Preferred Qualifications

  • Master’s degree in higher education administration, student affairs, or a related field.
  • Experience working in a large or multi-campus institution.
  • Advanced proficiency with Banner (or similar Student Information Systems), 25Live, and electronic curriculum management systems.
  • Strong understanding of curriculum management processes and academic policy implementation.
  • Demonstrated success in cross-departmental collaboration and project coordination.
  • Experience with data analysis and reporting tools such as Cognos, Argos, or Tableau.
  • Knowledge of FERPA and higher education compliance standards.
  • Active involvement in professional organizations such as AACRAO, SACRAO, or TACRAO.
