Job Description

POSITION SUMMARY

Provide assistance in completing a variety of clerical, messenger and receptionist duties under the general supervision of the Unit Director/Manager, Clinical Coordinator, Clinical Supervisor or Charge Nurse.

MINIMUM REQUIREMENTS

Education:

  1. High school graduate.

Experience:

  1. Previous secretarial experience desirable.

Knowledge, Skills, Abilities:

  1. Knowledge of medical terminology and computer skills desirable.
  2. Proficiency in spelling and accurate attention to details.
  3. Exhibits communication and verbal skills.
  4. Maintains composure in dealing with a variety of personalities and a sometimes high pressure environment.
  5. Relates to staff, physicians, patients/family, visitors, outside agency personnel.

License/Certification/Registration:

None

Receives general supervision from the Unit Manager/Director.

Responsibilities

ESSENTIAL FUNCTIONS

  1. Maintains patient medical records.
    1. Records all necessary information in the Automated Emergency Department log as well as be able to run monthly reports.
    2. Files Emergency Department records appropriately daily.
    3. Compiles ED charts for appropriate categories and sends to HIM daily.
    4. Pulls patient reports for physician review and then sends to HIM.
    5. Is proficient in computerized physician on call schedule.
  2. Communicates with patients, staff and physicians.
    1. Notifies admissions and ED cashiers regarding patient admissions.
    2. Answers and screens telephone calls.  Receives and delivers messages to patients and unit personnel in a timely manner.
    3. Pages medical personnel as directed including emergency codes.
    4. Assists physicians in obtaining reports, charts and other information.
    5. Receives phoned x-ray/lab reports.  Communicates information to the nurse in charge or physician.
  3. Maintains patient information system.
    1. Enters appropriate physician orders into the computer.  Obtains RN verification.
    2. Maintains proficiency with electronic tracking system.
  4. Performs a variety of clerical duties.
    1. Restocks clerical supplies as necessary.
    2. Duplicates chart material as requested by unit personnel.
    3. Collects and distributes mail 7-3 and 3-11.
    4. Assists in orienting new employees.
    5. Assists in maintaining an orderly and well functioning environment.
    6. Runs errands as needed.
    7. Maintains patient information on ED record and requisitions during computer downtime.

NON-ESSENTIAL FUNCTIONS

Performs related and miscellaneous duties as assigned.
