Job Description
POSITION SUMMARY
Coordinates daily clinic activities including patient scheduling and flow, ensuring adequate and appropriate staff coverage and managing employee and provider schedules on a daily basis. The Clinic Coordinator role is in addition to primary clinical function in the practice (i.e. rooming patients; authorizations; triage) according to established standards, practices and healthcare techniques. Demonstrates competence in making professional judgments pertaining to patient care.
MINIMUM REQUIREMENTS
Education:
- Completion of an accredited registered nurse program required.
- Bachelor’s degree in Nursing (BSN) preferred.
Experience:
- One year of supervisory experience preferred.
Knowledge, Skills, Abilities:
- Knowledge of principles and practices of healthcare and clinical management.
- Ability to communicate and collaborate effectively with all members of the interdisciplinary healthcare team and demonstrate principles of customer service.
- Keeps abreast of changes in the healthcare field including regulations and technological advances.
- Working knowledge of electronic heath records, electronic eligibility, electronic scheduling, compliance programs, CPT and ICD-10 coding, HIPAA, Medicare and Medicaid regulations and quality control procedures.
- Must have demonstrated leadership skills and the ability to direct patient care, prioritize work tasks and train other employees.
- Must be able to communicate clearly and effectively and read, understand and follow written and verbal instructions of the physician.
- Must be able to react calmly and effectively during emergency situations.
- Must have the ability to identify and analyze problems, prioritize, make confident quick decisions and recommend effective solutions.
License/Certification/Registration:
- Licensed as a Registered Nurse in the State of Pennsylvania.
- Meets the American Heart Association’s standards for Healthcare Provider Basic Life Support (BLS) and renews BLS every two years.

Responsibilities
ESSENTIAL FUNCTIONS
- Implements and provides ongoing oversight of clinical workflows, which could include but not limited to documentation practices, new standard work, and revised policies and procedures.
- Participates in quality improvement activities that include auditing of clinical performance to ensure standards of care are maintained.
- Responsible for the investigation of clinical issues that impact patient care within the clinic. This includes, but is not limited to, vital sign and medication errors as well as patient incidents (falls).
- Monitors vaccine and medication inventories as well as adherence to related monitoring and documentation standards (example: refrigeration controls) and makes appropriate operational adjustments.
- Provides clinical oversight for in-office procedures and point of care testing.
- Serves as the clinics resource for emergent nursing related questions to determine the need for escalation to physician, Practice Manager, Director, security, and/or compliance.
- Serves as liaison between clinic and revenue cycle regarding nursing documentation deficiencies and other clinical related issues (i.e. provider chart completion).
- Processes payroll through Kronos and monitor overtime utilization.
- On a regular basis, documents/gives feedback regarding staff performance to be used during the completion of annual performance evaluations.
- In coordination with Practice Manager, addresses and monitors, any staff related performance issues.
- Addresses immediate patient concerns and escalates issues as appropriate.
- Maintains clinical & office supplies which includes ordering and maintaining a proper Personnel Action Report.
- Coordinates daily huddles & other communication tools for standard communication.
- Ensures appropriate staff coverage and allocation of resources including the assignment of weekly schedules. This includes managing PTO, call offs, and other clinic impacting staff changes.
- Ensures appropriate onboarding, orientation and training of new staff.
- Monitors and adjusts emergent provider scheduling changes.
- Monitors patient call volumes within the clinic and adjusts staffing levels to meet demand.
- Coordinates general facility related issues and maintenance as well as identify information technology dysfunctions. Communicates all problems with the appropriate personnel.
- Prepares CME and other expense reports, requests checks, and addresses invoices.
- Tracks provider licensure and proactively notifies providers when license or certification needs to be renewed.
