POSITION SUMMARY

The Medical Records Supervisor is responsible and accountable for supervising medical records staff and for managing the medical records department in compliance with all applicable standards, policies and procedures.  Oversees the organization and maintenance of files and records concerning patient diagnosis, treatment, admissions, discharges and daily patient census changes. The employee is expected to exercise good judgment and confidentiality.

JOB RELATIONS

Supervision received Health Services Administrator (HSA) Supervision exercised Medical Records Clerk Relationships Inter-relates and works effectively with all health care unit personnel, site administration staff, inmate patients, security staff, and regional team as necessary.

ESSENTIAL DUTIES/RESPONSIBILITIES

 

  1. Direct day-to-day activities of personnel engaged in analyzing, compiling, indexing and filing medical records of patients.
  • Oversee all medical record activities and medical record staff.
  • Ensure that a health record is maintained on each inmate in a confidential and secure manner.
  • Train and supervise clinical and medical record personnel in medical record procedures, protocols and guidelines.
  • Comply with and enforce Wexford Health/facility policies and procedures and ensure subordinate compliance.
  • Assign staff members to routinely review health records for completeness and organization and report non-compliance of health care providers to the HSA or Medical Director.
  1. Ensure that all forms contained in the health records are approved.
  2. Participate in the Quality Improvement program by attending meetings and reporting on data assigned for collection or in a capacity as requested.
  • Collect and submit information for monthly statistical reports.
  • Pre-audit and prepare medical records for monthly and/or quarterly reviews.
  1. Address all court/legal-related correspondence as it relates to health records in a timely manner in accordance with established policies and procedures.
  • Serve as medical records custodian in court when necessary.
  1. Ensure appropriate and quality orientation for all newly hired staff.
  • Develop employee improvement programs, orientation programs and health records in-services for staff and staff orienteer.
  1. Familiarize self with all rules, regulations, statutes, policies and procedures governing the health record.  Assist with developing and updating appropriate policies and procedures. Assist with developing and implementing corrective action plans for health records contract audit issues.
  2. Notify the HSA of vacant or upcoming vacant positions in a timely manner and actively assist in the filling of vacant positions.
  3. Act as a consultant to all health unit departments regarding their record keeping procedures.
  4. Adhere to PHI regulations as defined by HIPAA

Essential duties are routinely performed in a general office and clinical environment.  Duties may require work at a station/desk and entail paperwork, use of computers, fax machines, copiers, and other business machines and medical equipment.  Essential duties may require the following physical demands: the strength to lift and carry material weighing up to 30 pounds; vision to read printed materials and computer screen; walking; reaching; carrying; stooping; bending; squatting; prolonged sitting; handling (hand movement); hearing and speech to communicate in person and over the telephone; intellectual skills including short and long term memory, abstract reasoning, and decision making.

 

Must be able to ambulate throughout the facility for extended periods of time; specific vision abilities required by this job include close vision and distant vision, color vision, peripheral vision, depth perception, and the ability to adjust focus; must be able to clearly communicate orally and via written and typed correspondence and notes using various forms, records, charts, and electronic media.

 

Employee may be exposed to a challenging environment, which may include exposure to bloodborne and airborne pathogens, and loud noises.

ENVIRONMENTAL CONDITIONS

Office Standard medical setting in a correctional facility, which includes daily interfacing with inmates, correctional staff and health care personnel.

Temperature extremes may be encountered while moving throughout the facility outdoors and indoors in buildings without air conditioning. Travel N/A

 

EDUCATION/EXPERIENCE REQUIREMENTS

 

Licensing
  • Medical Record Technician in Medical Records Science preferred
  • Preferred having passed the American Health Information Management Association examination (A.H.I.M.A.)
Certification
  • Registered Health Information Technologist (R.H.I.T.), or Registered Health Information Administrator (R.H.I.A.)
  • CPR certification
Education
  • High School Diploma or GED equivalent required
Preferred experience
  • Two (2) years medical record experience preferred
  • Familiarity with ACA standards preferred
