The Medical Records Supervisor is responsible and accountable for supervising medical records staff and for managing the medical records department in compliance with all applicable standards, policies and procedures. Oversees the organization and maintenance of files and records concerning patient diagnosis, treatment, admissions, discharges and daily patient census changes. The employee is expected to exercise good judgment and confidentiality.
JOB RELATIONSSupervision received Health Services Administrator (HSA) Supervision exercised Medical Records Clerk Relationships Inter-relates and works effectively with all health care unit personnel, site administration staff, inmate patients, security staff, and regional team as necessary.
- Direct day-to-day activities of personnel engaged in analyzing, compiling, indexing and filing medical records of patients.
- Oversee all medical record activities and medical record staff.
- Ensure that a health record is maintained on each inmate in a confidential and secure manner.
- Train and supervise clinical and medical record personnel in medical record procedures, protocols and guidelines.
- Comply with and enforce Wexford Health/facility policies and procedures and ensure subordinate compliance.
- Assign staff members to routinely review health records for completeness and organization and report non-compliance of health care providers to the HSA or Medical Director.
- Ensure that all forms contained in the health records are approved.
- Participate in the Quality Improvement program by attending meetings and reporting on data assigned for collection or in a capacity as requested.
- Collect and submit information for monthly statistical reports.
- Pre-audit and prepare medical records for monthly and/or quarterly reviews.
- Address all court/legal-related correspondence as it relates to health records in a timely manner in accordance with established policies and procedures.
- Serve as medical records custodian in court when necessary.
- Ensure appropriate and quality orientation for all newly hired staff.
- Develop employee improvement programs, orientation programs and health records in-services for staff and staff orienteer.
- Familiarize self with all rules, regulations, statutes, policies and procedures governing the health record. Assist with developing and updating appropriate policies and procedures. Assist with developing and implementing corrective action plans for health records contract audit issues.
- Notify the HSA of vacant or upcoming vacant positions in a timely manner and actively assist in the filling of vacant positions.
- Act as a consultant to all health unit departments regarding their record keeping procedures.
- Adhere to PHI regulations as defined by HIPAA

Employee may be exposed to a challenging environment, which may include exposure to bloodborne and airborne pathogens, and loud noises.
ENVIRONMENTAL CONDITIONSOffice Standard medical setting in a correctional facility, which includes daily interfacing with inmates, correctional staff and health care personnel.
Temperature extremes may be encountered while moving throughout the facility outdoors and indoors in buildings without air conditioning. Travel N/A
- Medical Record Technician in Medical Records Science preferred
- Preferred having passed the American Health Information Management Association examination (A.H.I.M.A.)
- Registered Health Information Technologist (R.H.I.T.), or Registered Health Information Administrator (R.H.I.A.)
- CPR certification
- High School Diploma or GED equivalent required
- Two (2) years medical record experience preferred
- Familiarity with ACA standards preferred
- Ability to maintain regular and reliable attendance
